Translation for Poland and Germany: which requirements should you check?

The same document may require different formats for different recipients. Send the institution's name, the purpose of submission and its instructions.

From German — for Poland

Check whether a sworn translation into Polish is required and in which form the document must be submitted. A Polish sworn translator's status can be checked in the Ministry of Justice register. Official translator register

Into German — for Germany

Before paying, ask the recipient whether it accepts translations completed in Poland and which authorisation the translator must hold. Some qualification recognition authorities do not accept translations by authorised specialists based abroad. Document requirements for qualification recognition

Translation, copy and apostille

A sworn translation conveys the document's content. A certified copy and an apostille serve different purposes and do not replace translation. Do not automatically order the whole set: attach the recipient's requirements and any existing certifications. More about apostille

Before ordering, ask the recipient about four points: language, translator status, acceptable source document and output format. Qualification recognition requirements do not automatically apply to every institution in Germany.

Diplomas and employment

Translation for study, work and recognition of qualifications in Germany

University admission, qualification recognition and submitting documents to an employer are different tasks. Tell us which procedure you are following so we can assess the required document set.

University admission

Send your school certificate or diploma with its supplement, subjects and grades. Applications through uni-assist require translations into German or English; certification requirements and exceptions based on the documents' country of origin apply. uni-assist translation rules

Recognition of qualifications

For assessment, send your education document, a supplement listing subjects and duration of study, and evidence of experience if required. The recognition authority for your profession determines the specific list and format. Document list for Anerkennung

Documents for an employer

CVs, references, Arbeitszeugnis, contracts and certificates may be needed separately from qualification recognition. Tell us the job role and the employer's requirements. Document translation is not a decision recognising a diploma.

For a quote, attach every page and reverse side, the list of subjects and grades, the recipient's instructions and your name as written in your passport. Indicate which documents are already in German or English.

Vehicle documents

Translation of documents for a vehicle from Germany

Before registering a vehicle in Poland, check which documents need translation. Not every entry in a registration certificate is treated in the same way.

Agreement or invoice

Send the Kaufvertrag or Rechnung with every page and attachment. Legible seller and buyer details, VIN, price and date are important for assessment; the file name alone does not determine the translation volume.

Registration documents

Add any available Zulassungsbescheinigung Teil I and Teil II, including reverse sides. Registration certificates issued by an authority in an EU country are exempt from mandatory translation; individual national entries may still need translation.

What to check before ordering

Attach the Polish registration office's document list. It may require translation of national entries for which no harmonised codes exist. We will agree exactly what to translate and in which format to deliver it after reviewing the set. Official registration requirements

The rule for registration certificates does not exempt the entire document set from translation. Agreements, invoices and additional documents are checked separately.

Treatment and examinations

Medical translation from and into German

Tell us who the translation is for: a doctor, clinic, insurer or employer. This helps us agree the scope, terminology and format.

Before a consultation or treatment

Send discharge summaries, reports and test results with dates, measurement units and reference values. Indicate which documents the doctor requested and when the appointment is scheduled.

After treatment and for submission

For translation of an Arztbrief, Befund or Entlassungsbericht, attach the complete document, including recommendations and prescriptions. For an insurer or employer, add their requirements: medical content alone does not determine whether sworn certification is needed.

Documents or attending a meeting

Written translation of medical files and interpreting during a consultation are separate tasks. For a meeting, give the languages, topic, date, duration and location or online format. Request interpreting

For an urgent order, give the appointment or submission date. We first assess legibility, volume and the required format, then confirm the deadline.

Preparing the source

What should you consider when translating from or into German?

Before sending, check the document set and personal details. A clear source and precise brief reduce the need for clarification before work begins.

Numbers and identifiers

VINs, document numbers, dates, amounts and measurement units must be fully legible. Do not crop page or table edges; if anything is unclear, add a close-up of the entry and the complete document for context.

Stamps, reverse sides and attachments

Send every page, reverse-side annotations, attachments and any existing apostille. For multilingual sets, list each file's language and the required direction; we do not assume the whole set is in German.

Abbreviations and terminology

For technical, medical and business materials, add a glossary, previous translations or terminology instructions. The purpose of the text helps identify the meaning of an abbreviation, particularly when it varies by industry.

Old and hard-to-read documents

Send court, archive and handwritten documents in the best available quality. Mark any illegible passages; do not reconstruct them by guessing. We assess readability and the work required before agreeing the order.

Scan for a quote and source document for submission

A legible scan or photograph is suitable for a quote. Before translating, we check whether the original or a copy is required and whether the recipient accepts it. Agreeing a price from a photograph does not mean that source is sufficient for submission.

Choosing a translator

Can you entrust translation from or into German to AI or a freelancer?

Assess the result, qualifications and checking process. The tool's name or the platform used to find a translator does not establish whether the translation is suitable for your purpose.

Draft and finished translation

Machine translation can help you understand a text initially. Before using it, check completeness, negations, terminology, numbers and names. For official submission, formatting requirements and the translator's authorisation must be checked separately.

Qualifications for the task

Yes. We work with German and Polish, Russian, Ukrainian, English, French and many other languages in both directions. Send us both languages, the purpose, and the documents or meeting topic — we will confirm the appropriate service and terms.

A billing page is 1125 characters including spaces, not one sheet or file. Starting rates: standard written and sworn translation — from 100 zł per page; medical — from 180 zł; urgent written — from 130 zł; urgent medical — from 280 zł. Interpreting, including urgent bookings, starts at 400 zł per hour. Technical materials are priced after reviewing the files. We agree the final cost before work begins.

When the recipient requires a translation completed and certified by an authorised translator. Tell us where you are submitting the document and for which procedure. The recipient determines whether translation is needed and which format is acceptable; the document name alone does not provide a universal answer.

Check this with the specific recipient before ordering. For example, some German qualification recognition authorities do not accept translations by authorised translators based abroad. Send the institution's instructions or ask which translator status and country of translation it accepts. Acceptance by every institution cannot be guaranteed.

Send legible scans or photographs of every page for a quote. Before starting, we will agree whether the source is an original, copy or electronic document. Requirements for final submission may differ from those for files used to calculate the cost.

If the recipient requests subjects, grades or information about the content and duration of study, a diploma alone is insufficient. Send the diploma, its supplement and the institution's instructions for a quote. For example, uni-assist requires the original document and a translation, including subjects and grades; exceptions and country-of-issue requirements apply.

Send the agreement or invoice, all pages of the available registration documents, and the Polish registration office's requirements. An exception applies to registration certificates from EU countries, but the authority may request translation of national entries without harmonised codes. This does not automatically exempt the agreement or the rest of the document set.

Apostille and translation are separate procedures. Whether an apostille is needed depends on the document, country and recipient's requirements. Attach their instructions and any existing certifications so we can agree the scope. Sworn translation does not replace an apostille, and an apostille does not replace translation.

Urgent service can be requested for written, sworn and medical translation, and interpreting. Give the exact submission or meeting date; we will confirm availability after assessing volume and complexity. For written orders, we separately agree when the electronic file will be ready and when you will receive the paper copy.

Electronic files, paper copies, office collection and free delivery are available. We agree the method and date in advance, taking the recipient's requirements into account. Every written translation includes an additional check by another sworn translator.
