Review on Google MapsHow to order and receive a translation
One document or a description of your case is enough for initial contact. File upload in the quotation form is optional. The full work scope and source material are clarified after identifying what actually needs translation.
Order and receipt notes
The translation office’s location does not determine the registration authority. Under Article 73(1), the competent authority is based on the owner’s permanent or temporary residence, or an organisation’s registered location. Enquiring about translation in Warsaw does not require you to register the vehicle there.
Contract formation, payment and the start of performance must follow the agreed terms. Being able to send an enquiry online does not determine response or completion timing.
Before ordering, read the terms of service and data policy.
Which documents need translation
The documents required for registration and the documents included in a translation order are different lists. For registration, temporary registration, deregistration and notification of a sale, foreign-language documents are assessed under the exemptions in § 5 of the registration regulations. A document being required for the procedure does not automatically mean you need to order its translation.

| Translation is required | Agree the specific document or information, source material, certification, price, completion date and receipt |
| The document is missing or the requirement is unclear | First ask the registration authority which document or official confirmation you need to obtain |
| Translation is not required for your procedure | Exclude it from the order. The document itself may still be a required attachment |

Document type notes
The full registration file depends on the case. Alongside ownership and registration documents, evidence covered by Article 72 of the Road Traffic Act may be required. Obtaining that evidence and completing tax or customs procedures are separate from translation.
The disposal-document exemption concerns Article 79(1)(1) and (6): dismantling a complete vehicle transferred to a dismantling station or collection point, and acceptance of an incomplete vehicle, including the specified foreign equivalents. It does not automatically cover every export or deregistration certificate.
For a different purpose, identify the recipient and intended use first: different requirements may apply.
Foreign registration certificates
The exemption depends on the type of certificate and its competent issuing authority. The relevant group comprises EU states, Switzerland and the EFTA states that are parties to the EEA: Norway, Iceland and Liechtenstein. This is not a definition of the EU customs territory. Having two parts and needing both parts translated are separate questions.
| Situation | Answer and action |
|---|---|
| Harmonised codes and national entries | Do not automatically order translation of an exempt certificate. Where there are doubts, the authority may require national data and information whose codes are not in Annex I to Directive 1999/37/EC |
| The certificate has parts I and II | Both parts are submitted under § 3(7). That does not make translation of both compulsory |
| Part II is missing | The § 3(8) procedure applies where the vehicle was imported from a state in the stated group and was previously registered in such a state. The Polish authority obtains confirmation of the previous registration and eligibility for re-registration in another state in the group; it can then accept part I |
| Part II is missing in another situation | Do not assume the same procedure applies. Give the registration authority the country of import, previous registration details and the documents you hold |
| The whole certificate is lost or illegible | Establish how to obtain a duplicate or a document from the previous authority containing the necessary details. If that authority refuses, a confirmation request by the starosta is provided for. Translating a copy does not replace this procedure |
| The document is called a Title | For imports from outside the stated group, Article 72(2a) provides for alternative proof of registration issued by the competent authority. The name Title alone does not prove that it establishes both ownership and registration: check its function with the recipient |
Harmonised codes and national entries
- Answer and action
Do not automatically order translation of an exempt certificate. Where there are doubts, the authority may require national data and information whose codes are not in Annex I to Directive 1999/37/EC
The certificate has parts I and II
- Answer and action
Both parts are submitted under § 3(7). That does not make translation of both compulsory
Part II is missing
- Answer and action
The § 3(8) procedure applies where the vehicle was imported from a state in the stated group and was previously registered in such a state. The Polish authority obtains confirmation of the previous registration and eligibility for re-registration in another state in the group; it can then accept part I
Part II is missing in another situation
- Answer and action
Do not assume the same procedure applies. Give the registration authority the country of import, previous registration details and the documents you hold
The whole certificate is lost or illegible
- Answer and action
Establish how to obtain a duplicate or a document from the previous authority containing the necessary details. If that authority refuses, a confirmation request by the starosta is provided for. Translating a copy does not replace this procedure
The document is called a Title
- Answer and action
For imports from outside the stated group, Article 72(2a) provides for alternative proof of registration issued by the competent authority. The name Title alone does not prove that it establishes both ownership and registration: check its function with the recipient
Understanding the registration certificate
For example, D.1 identifies the make and E the vehicle identifier. C.1 concerns the document holder; C.2 concerns the owner and may be absent. A holder entry must not automatically be treated as proof of who owns the vehicle.
A German or Danish certificate is assessed under the rules for the relevant group of states. An agreement or invoice from the same country does not acquire the certificate’s exemption.
Informal names for vehicle papers can refer to different documents. Identify the official document type when checking requirements. Historical country references in the European template do not establish present membership: the United Kingdom is not in the group stated above.
Registration regulations: §§ 3 and 5 · Road Traffic Act: Articles 2 and 72
Sale agreements, invoices and ownership documents
A sale agreement and an acquisition invoice are possible ownership documents, not a compulsory pair. The choice depends on your transaction. If the seller differs from the owner recorded in the registration document, check the ownership-chain rule and its exceptions under § 4 first.
| Question | What to check | Next step |
|---|---|---|
| Agreement or invoice? | Which document proves acquisition of the vehicle | Agree translation of the ownership document being used; do not automatically add the other |
| Is the agreement bilingual? | The complete Polish text, completed fields, handwritten additions, entries and attachments | Check the recipient’s requirements. The label bilingual does not guarantee exemption; agree any required foreign-language information separately |
| Is the named person the holder rather than the owner? | C.1 does not necessarily identify the owner | Establish the owner before concluding that they differ from the seller |
| Are earlier agreements needed? | Under § 4(2), where the seller differs from the owner, evidence of ownership transfers is required unless an exception applies | Identify the necessary chain and translate only the required foreign-language documents |
| Was ownership transferred abroad? | For imported vehicles, § 4(5) provides an exception to paragraphs 2 and 3 | Check applicability before ordering earlier documents |
| Was the vehicle sold by a Polish vehicle trader? | The second exception concerns first registration after sale by a trader who imported the vehicle themselves | Establish the seller-importer’s role. It does not automatically apply to every dealer or intermediary |
Agreement or invoice?
- What to check
Which document proves acquisition of the vehicle
- Next step
Agree translation of the ownership document being used; do not automatically add the other
Is the agreement bilingual?
- What to check

- Next step
Check the recipient’s requirements. The label bilingual does not guarantee exemption; agree any required foreign-language information separately
Is the named person the holder rather than the owner?
- What to check
C.1 does not necessarily identify the owner
- Next step
Establish the owner before concluding that they differ from the seller
Are earlier agreements needed?
- What to check
Under § 4(2), where the seller differs from the owner, evidence of ownership transfers is required unless an exception applies
- Next step
Identify the necessary chain and translate only the required foreign-language documents
Was ownership transferred abroad?
- What to check
For imported vehicles, § 4(5) provides an exception to paragraphs 2 and 3
- Next step
Check applicability before ordering earlier documents
Was the vehicle sold by a Polish vehicle trader?
- What to check
The second exception concerns first registration after sale by a trader who imported the vehicle themselves
- Next step
Establish the seller-importer’s role. It does not automatically apply to every dealer or intermediary
Ownership document notes
For another transaction, ownership may be evidenced by gift, inheritance, property-division documents or a final court decision on ownership. Select the document appropriate to the case.
§ 5 does not contain a separate exemption for every document written in two languages. Even where a Polish version exists, a foreign-language note or attachment may need separate assessment by the recipient.
If you already have a translation, ask about checking and certification. The law permits an authorised translator to do this, but it involves checking rather than automatically adding a stamp. It does not authenticate the parties’ signatures.
For other German documents, see the general information on sworn translation from German into Polish.
Source documents and translation format
The material used for translation, the certified result and the authority’s accepted attachment are three separate matters. A working scan is not an original presented to the translator. An ordinary PDF scan of a paper translation is not equivalent to a translation bearing a qualified electronic signature.
| What to agree | Essential condition |
|---|---|
| Original, copy, scan or photograph for the work | The translator checks whether the material is sufficient. Certification records the actual basis of the translation; a scan must not be described as an original that was presented |
| Copy for submission | § 4(3) provides for notarised copies of ownership documents and must be read with § 4(5). It does not authorise submission of any ordinary scan. Check the recipient’s original-document and certification requirements |
| Paper result | Paper certification by a Polish sworn translator uses the translator’s stamp. Agree the copies and method of receipt |
| Electronic result | A Polish sworn translator’s electronic translation is certified with their qualified electronic signature. Check whether the required file can be issued and accepted by the recipient |
| Ordinary scan of the translation | It is not, by itself, a separate electronically certified translation. It may be an attachment where the authority accepts electronic copies |
| Who may translate for the listed procedures | § 5(1) provides for a sworn translator, a competent consul, or a sworn translator of the country from which the vehicle was imported into Poland or where it was transferred to a new owner. Check the individual, language and authority to act |
| Electronic submission to the authority | Check the current electronic delivery channel, format, legibility and presentation of source documents. The amended § 20 applies from 4 July 2026; ordinary email is not an established universal route |

- Essential condition
Check the current electronic delivery channel, format, legibility and presentation of source documents. The amended § 20 applies from 4 July 2026; ordinary email is not an established universal route
How the translation is certified
The law requires the translator’s repertory number and information about the basis of the translation. Certification concerns the translation; it does not authenticate the source document itself.
Translating content and certifying a copy of a document are different acts. The paper-source restriction for electronic certification of a copy must not be extended to all translations made from scans.
Warsaw’s instructions separately describe presenting the original for certification of a copy. This is a local example: check your own authority’s instructions when submitting elsewhere.

Agreeing the price and turnaround
The price of a private translation order is determined by agreement. Tariffs for translations requested by public authorities have a different scope.
If you have a submission date, mention it when enquiring. Obtaining a missing document or registration-authority confirmation can affect preparation of the case independently of translation speed.
Before a consumer places a distance order, the price including applicable taxes or its calculation method, additional charges, payment, performance and receipt arrangements must be clear.
Rejection, complaints and withdrawal
If the authority does not accept a document, establish the specific reason first. A missing document, additional information requirement, unsuitable submission format and a translation error require different actions. Any refund question must be considered against the reason for the request and the contract terms.
| Reason | Next step |
|---|---|
| A document or certificate part is missing | Obtain the authority’s requirement and establish how to obtain the document |
| National information or a different format is required | Clarify the exact scope and format, then agree the necessary action |
| There may be a translation error | Provide the source, translation and specific comment for a complaint |

| Consumer situation | Applicable rule |

| A paid service has been fully performed | The withdrawal exception requires prior express consent, information and acknowledgement of losing the right. Starting work or consenting to data processing alone is insufficient |

Complaint and withdrawal notes
Translation does not replace checks of the registration file or ownership. To assess a problem, obtain the authority’s precise comment rather than only a statement that the document was rejected.
A complaint, a contractual refund guarantee and consumer withdrawal are different grounds. Consumer rules do not automatically apply to every business contract. The calculation on withdrawal also depends on proper information, the request to begin work and the amount of service performed.
