Choosing the procedure

When legalisation or an apostille is needed

The procedure depends on the country of issue, the destination country and the type of document. A country name alone is not enough: we check the applicable rules and the recipient's requirements.

Apostille

For eligible official documents exchanged between countries where the Hague Convention applies, an apostille is usually used. Status and exceptions are checked against the HCCH status table.

Consular legalisation

Where this procedure is required, a Polish document goes through the necessary preparation, the Ministry of Foreign Affairs and the diplomatic or consular mission of the destination country. The official process is described on the Polish Ministry of Foreign Affairs website.

Exemption from authentication

An international treaty or specific rules may remove the legalisation requirement for certain documents. We check the exemption conditions; translation and other recipient requirements are considered separately.

Types of documents

Which documents can be prepared for legalisation

For each document, we check the issuing authority, signatures and seals, the required form of the document and any prior authentication. Requirements vary even within the same category.

Diplomas and other education documents

Polish university documents must first be authenticated by NAWA for legalisation; school documents and certain specialist documents fall under a different authority. The university procedure is explained on the NAWA website.

Criminal record certificates

We check the official paper KRK document and the recipient's requirements for its issue date. If you do not yet have a certificate, obtaining a criminal record certificate can be agreed as a separate order.

Notarial and court documents

Polish notarial and court documents require authentication by the competent regional court before legalisation at the Ministry of Foreign Affairs. We clarify the required form of the document and the relevant court for each case.

Company and trade documents

Trade documents may require authentication by a chamber of commerce and industry. We check KRS extracts separately: the format needed for authentication differs from a standard internet printout.

Medical qualification documents

We check the issuing authority for a specialist diploma, a professional examination document or a medical chamber document. These categories require authentication by the Ministry of Health before submission to the Ministry of Foreign Affairs.

Document processing route

The stages of consular legalisation

After choosing the procedure, we agree the sequence of authorities. Not every document needs the same preliminary stage.

Prior authentication

Where required, the document is first authenticated by the competent authority, such as a regional court, NAWA or a chamber of commerce and industry. We agree the preparation required before submission.

Legalisation at the Polish Ministry of Foreign Affairs

The prepared Polish document is submitted to the Ministry of Foreign Affairs (MSZ). We check the document set, the required form of the document and whether submission is possible under the agreed procedure.

Embassy or consulate

After the Ministry of Foreign Affairs, the document is sent to the diplomatic or consular mission of the destination country. Translation, the consular fee, the submission method and any further requirements in the destination country are clarified separately.

What the embassy may require

There is no single document set for every country. Before you transfer the original, we check the rules of the relevant diplomatic or consular mission and the receiving party.

Application and additional documents

We check the application form, the holder's or company's details, the intended use and any additional attachments. The information and authorisation must meet the submission requirements.

Consular fees

The amount and payment method depend on the diplomatic or consular mission and the document type. These fees are not included in the 690 zł price; we confirm the amount before submission.

Appointment, submission and timeframe

We clarify available dates, the procedure for using a representative and the processing time. Your preferred completion date does not replace confirmation that the work can be completed in time.

What to prepare for a document check

We need details of your request for an initial quote. Do not send the original until a suitable document and the transfer method have been agreed.

A legible scan or photo

Where possible, show all pages, signatures, seals and any existing authentications. The scan is used for checking; having a file does not make it an original for legalisation.

A suitable document

We clarify whether your existing original is suitable, or whether an official extract, a new document or a notarial document is needed. The required form depends on the document and the authority.

Recipient requirements and your required date

Provide the institution's instructions if you have them. Tell us your preferred date and the requirements for the translation and issue date; we check whether the deadline is achievable before confirming the order.

Transfer and return

How to transfer the original and receive the completed document

The transfer method, address and return arrangements are agreed with the manager for each order.

Transfer after the check

First agree the document set and a suitable document. Then obtain transfer instructions; the original must arrive before the stage at which the authority requires it.

Authorisation and scope of the order

If needed, prepare the agreed power of attorney or other information for the representative. We check whether we can act on your behalf at each institution.

Document return

Clarify the collection or delivery method, address, recipient and delivery costs. We agree the return arrangements and completion notification when you place the order.

Preparing and obtaining a document

If prior authentication is required, preparation costs 360 zł per document. Obtaining the agreed official document costs 550 zł. These services are added where needed.

Translation, fees and delivery

Translation is priced according to the language and length. We include consular and other required fees, additional work and delivery in the full quote as agreed.

Document readiness and the authorities' procedures

The timeframe depends on preparation, appointments, processing and return. We clarify when it starts; changes to requirements or the need for a new document may affect the schedule.

Documents from other countries

If the document was issued outside Poland

A document originating in Poland and a document submitted in Poland are different cases. First we determine the country of issue and any applicable exemption.

Apostille in the country of issue

Where an apostille applies, it is issued by the competent authority in the document's country of origin. The Polish Ministry of Foreign Affairs does not apostille a foreign document simply because it will be submitted in Poland.

Consular procedure

If legalisation is required for Poland, authentication in the country of issue and the rules of the competent Polish consular institution must be checked. Assistance with this type of order is agreed separately.

Exemption and translation

International treaties or EU rules apply to some documents. An exemption from authentication does not mean that the recipient cannot request a translation or other documents.
