Which interpreting format to choose

Pauses in the conversation, listener numbers and venue conditions determine the suitable option. Choose a category and describe your meeting.

Consecutive interpreting

The interpreter conveys what was said after a statement or part of a presentation. Suitable for dialogue, negotiations and meetings where pauses are possible.

Simultaneous interpreting

Interpreting takes place alongside the presentation. Suitable for events without pauses; equipment, audio channels and the team are agreed in advance.

Whispered interpreting

The interpreter speaks quietly to one or two nearby listeners. Suitable for a small group if the acoustics allow it without disturbing other participants.

What affects the price of interpreting

The price relates to a particular meeting. These details help define the booking scope and agree a full quote.

Meeting duration

Provide the start and end times, breaks and possible waiting time. Consecutive interpreting needs time for interpreting each statement.

Languages and subject

Language directions, speaker numbers and meeting content matter. An agenda and terminology help assess the interpreter’s preparation.

Location and equipment

The address, travel, online platform, acoustics, microphones and headphones affect the arrangements. Who provides the equipment is agreed before the meeting.

How it works

How to prepare for and book interpreting

First we describe the meeting, then agree the interpreter and terms. Materials help the interpreter prepare for the subject.

Describe your meeting

Provide the date, time, location or platform, languages, subject, duration and participant numbers. If the format is unknown, describe how the conversation will work.

Agree the terms

Before confirming the booking, clarify interpreter availability, institutional requirements, service scope, price, travel, equipment and rescheduling terms.

Share the materials

Prepare the agenda, presentation and key terms that may be shared. Agree the organiser’s contact and the arrival or connection time.

Confirm the details

Check the date, address, on-site contact and technical setup. During the meeting, follow the agreed pauses and speaking order.

Which meetings need an interpreter

Choose the format based on how participants communicate and how many people need to hear the interpretation.

Institutions and notaries

Name the institution and purpose of your visit. Before booking, clarify the requirements for the interpreter, documents and remote participation.

Conferences and presentations

If a presentation needs to continue without pauses, consider simultaneous interpreting. Whispered interpreting may suit one or two nearby listeners.

Personal meetings and consultations

Describe the task, participants and subject. For a medical consultation, the interpreter’s specialisation and the receiving organisation’s rules are checked separately.

Official meetings

When a sworn interpreter is needed

Sworn status is an interpreter’s qualification, while consecutive, simultaneous and whispered interpreting are working methods. These are separate questions.

Check the institution’s requirements

Ask whether a sworn interpreter is specifically required, which languages are needed and how their participation is confirmed. Share the answer when making your enquiry.

Choose status and format separately

An official procedure alone does not determine the interpreting method. First check the requirements for the interpreter, then the conversation arrangements.

Prepare written documents

Having an interpreter at a meeting does not replace written translation of certificates, a power of attorney or an agreement. Such a document package is ordered separately.

For example, Gov.pl separately describes official translation of foreign documents for the civil registry office (USC) and an interpreter’s help with communication. Clarify the requirements for your visit with the particular institution.

Languages and meeting location

Russian, Ukrainian, English, Polish or another combination — specify the required direction. Interpreter availability and the format are checked for your date.

One or both directions

Specify all interpreting directions. A presentation and a dialogue may need different arrangements; participant numbers also matter.

City, address and venue

Provide the exact meeting location in Poland and the organiser’s contact. Access requirements, arrival time and travel terms are agreed in advance.

Online or in person

For an online meeting, name the platform and check the sound, connection and availability of a separate interpreting channel. The institution must allow this format.

Interpreting helps participants understand the conversation during a meeting. Written translation produces a separate document. An interpreter’s presence does not mean you will receive a written translation after the meeting.

Consider consecutive interpreting for dialogue with pauses, simultaneous interpreting for a presentation without pauses, and whispered interpreting for one or two nearby listeners. Compare the options in the format selection section.
