How do I obtain a Belarusian certificate while in Poland?

01

Discuss your request

Tell us where and when the certificate is needed. We establish the order’s scope and price.

02

Check your documents

Provide a passport copy and power of attorney. We check its authority and use in Belarus.

03

Obtain the certificate

Our representative obtains the paper document in Belarus. We arrange an apostille if required.

04

Hand over the original

We deliver the certificate to Poland and translate it if needed. The completed set is sent by courier or InPost.

What did Decree No. 278 change for Belarusians abroad?

  1. Obtaining the certificate

Obtaining the criminal record certificate itself is not included in the list under Decree No. 278. We check foreign power of attorney requirements under the certificate issuance procedure.

  2. Obtaining an apostille

Decree No. 278 restricted obtaining an apostille through a representative: as a general rule, the power of attorney must be executed in Belarus. We establish in advance whether you have a suitable document for this stage.

Apostille is listed in item 12 of Annex 1 to Decree No. 278. We check the power of attorney separately for obtaining the certificate and the apostille.

What documents and power of attorney do I need to order?

To obtain the certificate through a representative, prepare:

  1. Passport copy

Send the pages with your photograph and personal details. You keep the original passport.

  2. Previous details and purpose

Provide any previous surnames, given names and patronymics, and the purpose of the certificate.

  3. Notarised power of attorney

Authority to obtain the certificate is required. We check the ability to obtain an apostille separately under Decree No. 278.

If you already have a power of attorney, send every page, including the page with the notary’s signature and stamp. We check its term, representative’s details and authority.

If you do not yet have one, agree the preparation procedure with us first.

Belarusian certificate or Polish KRK: which should I order?

A Belarusian certificate and Polish KRK confirm information from different national records. If the recipient specifies a Belarusian authority’s document, a Polish certificate cannot replace it.

Ask the recipient to specify the issuing country and purpose of the check. Living in Poland does not mean KRK is always sufficient. Depending on the procedure, several documents may be requested.

For information from Poland’s register, use our separate KRK certificate service.

Is an apostille mandatory on a Belarusian certificate for Poland?

An apostille is not automatically required for every Belarusian official document. The Polish–Belarusian legal assistance treaty exempts duly executed documents from legalisation within its scope.

The treaty is confirmed by the Polish Ministry of Justice. Exemption from legalisation does not remove requirements for the certificate’s content or translation.

If your procedure requires an apostille, we arrange an apostille for Belarusian documents in Belarus. We check the competent authority and representative’s powers before handing over the original; the procedure is described by the Polish consular service.

For another country’s consulate, the destination country’s requirements apply. We obtain the certificate and apostille first, then send the complete set for translation.

How should the certificate be prepared for submission in Polish?

If a sworn translation is required, we translate the entire paper certificate, including signatures, stamps and apostille. We check the document itself for its language: Belarusian certificates may be issued in Russian or Belarusian.

Translate Service provides sworn translation of documents from Belarus into Polish. We identify the language and length from the certificate, then quote the price.

We match your name to your passport and documents used in Poland. Tell us about surname changes or differences between Cyrillic and Latin spellings in advance.

When is a Belarusian certificate needed for work with children?

Work or activities with minors in Poland may require a certificate from the country of citizenship in addition to the Polish check. For a Belarusian citizen, this may mean a document issued by Belarusian authorities.

Safeguarding rules known as Lex Kamilek also consider countries of residence during the last 20 years. Checks depend on the activity and personal circumstances. See the Polish Ministry of Justice guidance.

Before ordering, ask the employer to list the documents and translation requirements. If an authority requests the certificate in a residence or citizenship case, send that request: these procedures differ from checks for work with children.

How long is a Belarusian criminal record certificate valid?

For use abroad, the permitted age of a Belarusian certificate depends on the specific procedure. Three or six months cannot be treated as a general period for every submission in Poland.

For example, UK visa procedures requiring an overseas criminal record certificate generally require the document from the most recent country of residence to be issued within 6 months before application. Other former countries of stay have a separate rule linked to the end of the last stay. See the Home Office guidance.

This example does not set a period for a Polish employer or voivodeship office. Check the required document age and relevant date before ordering; we account for this when planning collection, apostille and delivery.
