Which KRK document should you provide?
The paper MFA procedure requires an official KRK certificate with a signature and stamp. An ordinary printout of an electronic file or a photocopy does not replace that document.

Paper certificate
A suitable official paper copy is needed for the paper procedure. Include photographs of the signature and stamp.

Electronic certificate
Printing an electronic file does not turn it into an official paper certificate. Before you print it, we will confirm which document version the chosen procedure requires.
KRK confirms that the MFA issues the apostille. MFA requirements exclude an ordinary photocopy.
Which requirements should you check before sending the certificate abroad?
Check how recent the certificate must be, whether an apostille is required and which translation language is accepted. There is no single validity period for every procedure, and applicable exemptions must also be considered.

Apostille and translation
Send the instructions on authentication and translation. Travelling to another EU country does not by itself determine all the requirements.

Certificate issued outside Poland
The issuing country determines the competent authority. The Polish MFA does not authenticate a foreign official’s signature.
KRK does not set one validity period for its certificates; the applicable procedure determines how recent a certificate must be. An apostille does not renew the certificate’s issue date.
Under Regulation 2016/1191, a certificate confirming no criminal record, issued to an EU citizen by their country of nationality, is exempt from an apostille when presented to an authority in another EU country. This condition should not be extended to every Polish KRK certificate issued to a foreign national.

Translating your certificate and apostille
Arrange the translation after the apostille when it needs to include the apostille’s text. The recipient determines the language and certification; an existing translation can be assessed for an addition.
You can order a sworn translation of the certificate in the same order. Before work starts, we establish whether the recipient needs a translation of the KRK information alone or also its attached certifications.
