How to obtain a Ukrainian certificate while in Poland
We first check the recipient’s requirements, then agree on processing and document handover.
Describe what you need
Tell us which country and institution need the certificate. For your first enquiry, a description or one document is enough.
Agree on the required result
We clarify the extract type, electronic or paper format, and whether apostille and translation are needed.
Confirm the terms
We agree on the work, cost, timing and delivery. Payment follows agreement on the order.
Hand over the document
We tell you when it is ready, provide a photo of the result and agree on receipt of the original. A photo helps you check the order but does not replace the official document.
Ukrainian certificate
Ukrainian extract or Polish KRK certificate — which do you need?
Choose the certificate according to the issuing country specified by the institution. Living in Poland does not by itself mean you need a Polish document.
Confirm the list with the recipient. A Ukrainian extract and a Polish KRK certificate are different documents; translating one does not make it a substitute for the other.

What a Ukrainian certificate is and which extract to choose
“Ministry certificate”, “довідка про несудимість” and “витяг про несудимість” are names used in enquiries. When ordering, the exact document type and the recipient’s requirements matter.
Send the institution’s requirements. Full and short extracts contain different amounts of information; do not choose solely by the certificate’s informal name.

Electronic extract or paper original
The format you receive and the format you submit are separate questions. Before ordering, clarify whether the institution accepts an electronic file or requires an official paper copy.
You can request an electronic extract yourself through the government Diia service; it is free. Our price is for the company’s service. Diia also describes ordering a paper extract with an apostille; its published delivery conditions are limited to Ukraine. Before ordering yourself, check the current conditions and your access to sign in.

Information needed to obtain a Ukrainian extract
For your first enquiry, state the purpose and country of submission. We clarify the documents and authorisation needed for the chosen method after you contact us.
We check eligibility and required documents separately. We do not assume one method is available to every applicant. You do not need to give the company passwords, sign-in codes or electronic signature keys.

Apostille, translation and legalisation of a Ukrainian certificate
Preparation depends on the destination country, document type and recipient’s requirements. Apostille, translation and consular legalisation serve different purposes.
For submission in Poland. The Polish–Ukrainian agreement exempts relevant official documents from legalisation. Do not automatically order an apostille for every submission in Poland. Check whether the exemption applies and confirm the institution’s requirements; translation is considered separately. See the official explanation on the Poland in Ukraine website.
If the set includes Polish documents. The recipient may request documents from Poland alongside the Ukrainian extract. If those need consular authentication, use consular legalisation of Polish documents. This link concerns the Polish part of the set and does not mean Poland’s Ministry of Foreign Affairs authenticates the Ukrainian extract.

How to receive the completed certificate and how long delivery takes
Once ready, we agree on document handover. Delivery within Poland is free; the overall timing depends on the agreed work and route.
Processing, apostille, translation and transit are separate stages. Their estimates cannot automatically be added together or treated as a single delivery deadline. Tell us your submission date so we can agree on the full process before payment.
