Sending documents and receiving the result

From preliminary checks to return of the agreed document set, without your travelling to the issuing country.

2. Agreeing the order

Result, authorisation, pricing unit, included and separate services, full timescale and starting point.

3. Handover and submission

We agree the address, handover method, tracking and responsibility for the original. For an accepted digital route, we check the format first.

4. Result and return

We check the details, arrange translation if required and agree return. Delivery, its cost, tracking and responsibility are agreed separately.

We select the competent region and authority. Obtaining missing documents, submission and return are agreed separately; we do not route every document through Russia's Foreign Ministry.

Checking whether apostille is needed

Does your submission need an apostille

For Russian documents submitted in Poland, we first check the Article 15 bilateral-treaty exemption. Apostille is not automatically required for every document.

Document and recipient

We establish the issuing and destination countries, institution, category and document status. Being in Poland and using a document in Poland are different circumstances.

Another destination country

We check any more favourable treaty and whether the Hague Convention applies between the two countries. If necessary, we consider consular legalisation.

Scope of certification

Apostille certifies the signature, capacity and seal. It does not guarantee acceptance of contents, recognition of qualifications or enforcement of a judgment.

If apostille is requested despite an applicable exemption, ask the recipient for its basis in writing.

Original, copy or reissued document

We start preparation with a photograph or scan and choose the submission document according to authority and recipient rules.

Appropriate official document

We check the issuing authority, details and recipient requirements. A photograph is used for assessment; hand over the paper original only after the procedure is agreed.

Copy and electronic notarial act

A notarised copy is certified as a notarial act. Electronic procedures apply only in specified cases; a scan is not a universally acceptable electronic document.

Lost and USSR-era documents

Replacement issuance is priced separately. For Soviet documents, we check possible certification and copy acceptance; a notarised copy does not guarantee that the recipient will accept it instead of the original.

Document issuance, apostille submission and collection are separate actions with different requirements.

Existing certificate

In the researched regional example, the civil-registry office permits submission of an existing document without the owner's power of attorney. This is a specific service example, not a rule for every region or operation.

Replacement issuance

Obtaining a new certificate has separate applicant and representative requirements. The simplified submission rules for an existing document do not extend to replacement issuance.

Internal Affairs, Education and Justice authorities

We check authorisation and collection with the chosen authority. Justice Ministry terms do not replace Internal Affairs or Education authority requirements.

Translation and authentication order

The order depends on whose signature needs certification and what the recipient accepts.

Apostille on the original document

If the original document is certified, the complete set is usually translated after apostille, so the recipient receives a translation of both the document and certification.

Notarised copy or translation

Certifying a copy or a translator's signature changes what the apostille certifies. We first confirm that the receiving institution accepts this result.

Translation for the recipient

We check whether a Polish institution needs sworn translation. Its suitability for other countries is not assumed; we check the recipient's requirements separately.

If consular legalisation is applicable, we agree it separately. Translation, authentication and recognition of document contents serve different purposes.

Checking the result

How to verify an issued apostille

We check the completed certification and full set before return and submission.

Number, date and authority

We compare apostille and signatory details and the link to the document or notarial certification. We check the integrity of binding and seals.

Justice Ministry QR code or link

Applicable Justice Ministry apostilles can be verified through a QR code or link. This method does not automatically apply to Internal Affairs, civil-registry or Education apostilles.

Recipient requirements

After checking certification, we assess the translation, certificate validity and required document. Apostille does not resolve recognition of qualifications or enforcement of judgments.

Authentication errors and rejection

If a document is returned, we first establish the specific reason and the stage where the problem arose.

Apostille requested despite an exemption

Ask for the requirement and its basis in writing. We check the treaty and document; one institution's requirement is not a nationwide rule.

Incorrect details or document format

Send all pages, order details and a description of the error. We establish whether the original, certification or translation needs correction. Do not alter seals or document binding yourself.

Rejection relating to content

An apostille does not resolve certificate validity, recognition of qualifications or enforcement of judgments. We examine the recipient's requirement and possible next steps.
