Do you need an apostille in your situation?

An apostille certifies the signature, the signatory's capacity and the seal. It does not certify the contents or guarantee acceptance by every institution.

Read more about what an apostille is, what it certifies and what it looks like.

Before submitting your document, check when preliminary authentication is needed before an apostille: the extra step depends on the document and signature and does not apply automatically to every case.

  1. Ukraine, Russia and Belarus ↔ Poland

Treaty exemptions apply to properly issued official documents: Article 15 of the treaties with Ukraine and Russia, and Article 11 for Belarus. We check the document and the exemption's scope.

  2. Poland → another EU country

Regulation 2016/1191 exempts the listed personal public documents submitted to authorities in another EU country. It does not cover all diplomas or powers of attorney; criminal-record certificates have a nationality condition.

  3. Another destination country

We check the treaty, document category and whether the Hague Convention applies between the two countries. Their presence on the general list of parties alone does not settle the issue.

When do the document and apostille need translation?

The order depends on whose signature needs certification and what the recipient accepts.

  1. Apostille on the original document

If the original document is certified, the complete set is usually translated after apostille, so the recipient receives a translation of both the document and certification.

  2. Notarised copy or translation

Certifying a copy or a translator’s signature changes what the apostille certifies. If the recipient requires authentication of the translation itself, we check the procedure for obtaining an apostille on a document translation.

  3. Translation for the recipient

For submission to a Polish institution, we check whether you need a sworn translation of your document. Translation requirements for other countries are checked separately.

Unsure which step comes first? We explain whether to obtain an apostille before or after translation, and what to do if your translation is already complete.

Frequently asked questions about apostille

You can order the service from Poland. The competent authority in the issuing country performs the certification; Polish MSZ cannot certify every foreign original.

We check the issuing country, document category and the details of the available copy. Notarial certification of a copy is not the same as authenticating the original signature. For older documents, documents issued in the USSR and electronic documents, we first agree the permitted procedure based on the recipient’s requirements.

Ask for the reason for rejection and the institution’s requirements in writing. We check whether the issue concerns the document format, translation, apostille details or a separate recognition procedure. An apostille alone does not guarantee acceptance by every recipient.

Yes. A photo of the document or a description of your situation is enough for the first enquiry. We agree the required document and handover method after the initial check.

Before ordering, we separately record the service, official fee, document issuance, prior certification, translation and delivery. Polish MSZ packages include the 60 zł fee; other operations are agreed individually.

Authorisation depends on the document, authority and action. Replacement issuance, apostille submission and collection are checked separately. We agree the required set before you hand over the original.

The order depends on the recipient. Translation may first be needed for a notarial act; after apostille, the document and certification are translated for submission. We confirm the accepted result and whether sworn translation is needed.

After initial checks, we agree the document, procedure, authorisation and handover address. The order records delivery, tracking, return, costs and responsibility for the original. We check the completed set before returning it.

We check apostille details, signature, seal, attachment to the document and binding where required. We use an electronic register only if one exists. Apostille verification does not replace checking the recipient's requirements.

No. We check the issuing country, category, official document and applicable exemption. A treaty or EU rules may remove certification requirements for certain documents; translation and other requirements are checked separately.
