How the service works

How to order transcription remotely

First, we agree on the document, authorisation and order terms. Processing takes 3–7 working days from payment.

01

Describe your situation

State the issuing country, document type and why you need the Polish extract. You can attach one document when first contacting us.

02

Agree on the terms and payment

We check whether the procedure applies, the requirements for the document and translation, authorisation, costs and delivery. The 3–7 working days start from payment.

03

Send the documents for submission

Send the official document and necessary authorisation as agreed. We submit the documents to the Polish USC and collect the result.

04

Receive your Polish extract

We arrange delivery of the result. Shipping within Poland is free; international delivery terms are agreed separately.

Procedure and purpose

What transcription is and when a Polish record is needed

Transcription, also called umiejscowienie, transfers the contents of a foreign birth, marriage or death record into the Polish register. The result is a Polish record extract.

Foreign certificate → Polish extract

We submit the document for registration, collect the result and arrange delivery. This is a separate procedure: a sworn translation alone does not create an entry in the Polish register.

We first clarify what you need

We clarify whether the institution requires a Polish record or whether the foreign certificate with an accepted translation is sufficient. There is no universal transcription requirement for all foreign nationals.

Documents for the final submission

If the Polish extract will be used abroad, its authentication requirements are checked separately. If the institution also requires a criminal record certificate, that is ordered separately; a KRK certificate is not needed for transcription itself.

Preparing documents

Documents needed for transcription of birth, marriage and death records

For your first enquiry, describe your situation or attach one document. We agree on the complete submission and original-document requirements after reviewing your case.

Marriage record

A foreign marriage certificate or official extract. We check the spouses’ details, date and place of marriage and their surnames after marriage.

Death record

A foreign death certificate or official extract. We check the deceased person’s details, date and place of death, completeness of the record and spelling of the name.

Accepted translation

Translation costs extra. We check whether an official translation is required, who may provide it and whether an exemption applies to your multilingual document.

Application and authorisation

We clarify the applicant’s details, identity document and documents authorising representation. If additional information or a personal declaration is needed, we tell you before submission.

Sending the original

What happens to the original foreign certificate

Before sending the document, be aware that it usually remains in the USC file. We check which official copy you can submit for your case.

The document remains on file

The submitted foreign document generally stays in the Polish USC file. Do not assume the same original will be automatically returned after registration.

Official replacement document

If the issuing authority can provide a replacement certificate or extract, explore that option before sending the document. An ordinary copy is not equivalent to an official replacement.

Exception allowing return

If obtaining another copy is impossible, the law allows return on request after the USC certifies a copy. Application of this exception must be agreed for the particular document.

Remote assistance

How to arrange a Polish record through a representative

You can authorise a representative to submit documents and collect the result. Authorisation and personal declaration requirements are checked before you order.

Representative’s authority

We agree which actions you authorise the company to perform and which document confirms that authority. The form of power of attorney depends on where it is issued and the requirements of the particular application.

Sending and receiving

Once agreed, send the appropriate official document and necessary authorisation. We arrange submission, collection of the Polish extract and delivery as agreed.

Spouses’ personal declarations

If the foreign record does not state the surnames after marriage, separate declarations may be needed. A representative is not automatically authorised to sign a spouse’s personal declaration.
