Review on Google MapsHow to obtain an apostille for Ukrainian documents from Poland
From checking the document to receiving the agreed set. Obtaining a document, submitting it for an apostille and collecting the result require different authorisations.
Send a photo of your document
We will confirm the destination country, receiving institution, document category, available copy and required date, then check whether an apostille is needed.
Agree the service details
We will identify the required result, competent authority and authorisation. We will agree the cost, included and additional services, full timescale and when it starts.
Send your documents
Agree the address, handover, tracking and responsibility for the original. If a digital procedure is available, we check the format before arranging submission.
Receive the completed documents
We will check the details and arrange translation if needed. We will agree the return of the documents, including delivery terms, cost and tracking.
For education procedures, we separately record the diploma, supplement, owner's consent, submission and collection. For criminal-record certificates, we distinguish issuing the paper extract from apostilling it.
Submitting the document. We establish the authority's rules. For education documents, the application, owner's data-processing consent and submission set are checked separately.
Collecting the result. Different people may submit and collect the document. We agree collection of the education apostille and the representative's authorisation before handover.
Replacement certificate. Obtaining a replacement certificate is a separate operation. Data-processing consent does not replace the required authorisation. We check the power of attorney and its acceptability.
Does your submission need an apostille
For Ukrainian documents submitted in Poland, we first check the exemption under Article 15 of the bilateral treaty. Apostille is not automatically required for every document.
The exemption covers properly issued official documents and certified copies and translations covered by the treaty. Ordinary photocopies are not automatically included. Translation, certificate validity and recognition of contents are checked separately.
If apostille is requested despite an applicable exemption, ask the recipient for its basis in writing. For a document issued in another country, start by choosing the country and apostille procedure.
Where to obtain an apostille for Ukrainian documents
The five categories have different competent authorities. The table applies after checking whether apostille is necessary.
If you are comparing the procedure in the issuing country with the Polish route, check which authority issues apostilles in Poland. The guide explains why translating a foreign original does not turn it into a Polish document.
For a court judgment, first consider the issuing and destination countries. The Polish procedure and MSZ tariff do not apply to apostilling a foreign court signature.
| Category | Competent authority | Accepted document | Preliminary step and result |
|---|---|---|---|
| Civil registry | Ukraine's Ministry of Justice; submission through authorised civil-registry offices, notaries or Ukrderzharkhiv | Official certificate or appropriate replacement | Signature and seal checks; Justice Ministry apostille on the selected document |
| Education | Ukraine's Ministry of Education and Science; preparation through official ENIC | Diploma, school certificate and supplement, according to Ministry requirements | Education-document checks; Education Ministry apostille. Diploma and supplement are counted separately |
| Criminal record | Ukraine's Ministry of Internal Affairs | Proper paper extract issued by the Internal Affairs Ministry | The extract is issued first, followed by Internal Affairs Ministry apostille. An ordinary printout of an electronic response does not replace the paper document |
| Notarial documents | Ministry of Justice of Ukraine | Notarial document or permitted certification of a copy/translation | Checking the notarial act; apostille certifies the notary's signature |
| Court documents | Ministry of Justice of Ukraine | Properly issued court document | Checking details; apostille does not replace recognition or enforcement of the judgment |
Court documents issued in Poland have a separate service — court judgment apostille. For documents issued elsewhere, we determine the apostille requirement and competent authority separately.
Which copy of a Ukrainian document is needed for an apostille
We start preparation with a photograph or scan and choose the submission document according to authority and recipient rules.
Order of translation and apostille for a Ukrainian document
The order depends on whose signature needs certification and what the recipient accepts.
Unsure which step comes first? We explain whether to get an apostille before or after translation and what to do if the translation is already complete.
If the applicable procedure is consular legalisation, we will agree it separately. Translation, authentication and recognition of a document’s contents serve different purposes.
How to verify an issued apostille
We check the completed certification and full set before return and submission.
Authentication errors and rejection
If a document is returned, we first establish the specific reason and the stage where the problem arose.
Order terms specify how to report an issue and the scope of corrections for company errors. Acceptance by every institution is not guaranteed.
Official rules for obtaining an apostille
The grounds and procedures were checked in saved research on 9 October 2026. Before proceeding, we confirm the chosen authority's rules and recipient's requirements.
