Review on Google MapsWe obtain your Russian MIA criminal record certificate and deliver it to Poland without you travelling to Russia
If a voivodeship office (urząd wojewódzki), employer or foreign consulate requests a Russian certificate, you can use a representative instead of travelling for one document. We handle the application, collection of the paper original and transport from Russia.
You need a passport copy and a notarised power of attorney. If needed, we arrange an apostille for your criminal record certificate in Russia.
For submission to a Polish institution, you can also order a sworn translation from Russian into Polish. We prepare the certificate and apostille if required by the recipient.

Review on Google MapsHow do I obtain a Russian certificate while in Poland?
Agree the order
Tell us where and when the certificate is needed. We identify the services and calculate the price.
Prepare the documents
Provide a passport copy and arrange a notarised power of attorney using the agreed wording.
Obtain the certificate in Russia
Our representative obtains the paper Russian MIA document. We arrange an apostille if needed.
Deliver the original
We arrange transport to Poland and sworn translation. The completed set is sent by courier or InPost.
Do you need a Russian certificate or Polish KRK?
A Russian certificate contains information from Russian MIA records. Polish KRK comes from Poland’s register. If the recipient requests a Russian certificate, the Polish document cannot replace it.
Check the issuing country on the document checklist. Some procedures require certificates from several countries where you lived, not only your country of citizenship.
If you need the Polish document, order a KRK criminal record certificate.
What documents and power of attorney are needed to obtain the certificate?
For an order through a representative, prepare passport details, application information and a power of attorney:
-
Passport
You can initially send a copy of your international passport. We check which pages are needed. If you have a Russian internal passport, we clarify which of its pages are required. You keep the original.
-
Personal details and residence
Provide any previous surnames, given names and patronymics, your place of birth and information on residence in Russia.
-
Notarised power of attorney
The representative can act only within the stated authority. Show us any existing power of attorney for checking first.
If a Polish notary prepares the power of attorney, we agree its use in Russia and translation before signing.
Will a Gosuslugi certificate suffice, or do I need a paper original?
-
Electronic document
An electronic Gosuslugi certificate is suitable only where the recipient accepts the format and can verify the electronic signature.
-
Paper original
Printing a PDF does not make it an original bearing the authority’s signature and stamp. Our representative obtains the official paper document; if an apostille is ordered, it is submitted for authentication in Russia.
If you already have an electronic certificate, send it to the recipient and ask whether it is sufficient. This can avoid a repeat order.
Must I book an appointment at a Russian consulate?
No consulate appointment is needed for our representative to obtain the certificate. The application is submitted in Russia under a notarised power of attorney.
Applying through a consulate remains a separate option. The consular section in Warsaw states a service time of up to 30 days. This covers the consular procedure and excludes waiting for an appointment.
If you do not yet have a power of attorney, we agree how it will be notarised separately. Obtaining the certificate through a representative and arranging the power of attorney are different actions.
Does a Russian certificate need an apostille for Poland?
We arrange an apostille if required for recognition in your procedure. Before ordering, we check the destination, document type and recipient’s requirements: apostille and sworn translation serve different purposes.
We arrange an apostille for Russian documents on the paper original through the competent authority in Russia. Poland’s foreign ministry does not apostille Russian MIA certificates.
Authentication of Russian documents is described by the Polish consular service. For another country’s consulate, that country’s rules apply.
If required, we obtain the apostille before sworn translation; the translator receives the complete set including the authentication.
When is a sworn translation of a Russian certificate needed?
A sworn Polish translation is needed if the submission procedure requires it. We translate the whole certificate, including signatures, stamps and any apostille in the set.
Translate Service provides sworn translation of Russian documents into Polish. We match your name to the spelling in the documents you use in Poland.
Tell us about surname changes or spelling differences between passports before translation, so the certificate and other documents have consistent personal details.
Is a Russian certificate needed to work with children in Poland?
Work or other activities with minors may require records from the country of citizenship and previous countries of residence. Polish KRK alone may therefore be insufficient for a Russian citizen.
The checks depend on the role and individual circumstances. Safeguarding rules known as Lex Kamilek also consider residence in other countries during the last 20 years. See the Polish Ministry of Justice guidance.
Before ordering, ask the employer to specify the countries and document formats needed. If the Russian certificate is for another purpose, such as an institution’s request in your case, follow that request.
How long is a Russian criminal record certificate valid?
A Russian MIA certificate has no single established expiry period. For use abroad, the specific procedure’s requirements matter.
For example, Canada’s Express Entry has different requirements for certificates from current and former countries of residence. IRCC requirements.
- Current country of residence — the certificate must have been issued no more than 6 months ago.
- Former country of residence — obtain the certificate after the last period of residence lasting 6 consecutive months or longer.
For someone who moved from Russia to Poland, the Russian certificate need not necessarily be less than six months old. Immigration authorities may request an updated document. This rule does not automatically apply to Polish institutions; check the permitted age under your procedure.
