When does a Polish civil status certificate need an apostille?

A Polish certificate may need an apostille for use in a Hague Convention country when no exemption applies. Certain civil status documents exchanged between EU countries are exempt under Regulation 2016/1191.

Our guide explains when an apostille is not required within the EU.

  1. Citizenship and residence

A certificate may be needed by an immigration authority, consulate or another office abroad.

  2. Marriage and change of surname

The document may be needed to marry or to confirm your marital status or surname abroad.

  3. A child’s documents

A birth certificate may be needed for a citizenship or visa application, school enrolment or family matters.

  4. Inheritance and property

A death certificate, marriage certificate or document confirming divorce may be needed in an inheritance or property case.

The MFA guidance on apostille exemptions explains which documents are covered. A purpose such as citizenship or inheritance does not by itself establish that an apostille is required.

Where do Polish civil status certificates receive an apostille?

Poland’s Ministry of Foreign Affairs issues the apostille. A paper USC document with the required seals and signature does not need prior regional court authentication.

Submission requires a paper USC copy with the office’s round seal, the official’s name stamp and signature. An ePUAP printout or ordinary photocopy does not replace that document.

Documents can be submitted in person, through another person or by post.

See which authority issues apostilles in Poland. The right authority depends on the issuing country, document type and signature being authenticated.

Do you need a translation of the certificate and apostille?

A translation is needed when the receiving institution requires one. If it must include the apostille, it is prepared after the apostille is issued. A multilingual standard form may be relevant in procedures covered by EU rules.

Questions about apostilles for Polish civil status certificates

An apostille may be needed when you submit the document in a country that applies the Hague Convention. Check the recipient’s requirements first. Certain documents exchanged between EU countries are exempt.

It authenticates the signature and seal, and confirms the capacity of the official who signed the document. It does not confirm the contents of the certificate.

A paper USC document with the office’s round seal, the official’s name stamp and their signature. An ePUAP printout is not enough.

No. A correctly issued Polish civil registry document does not need prior regional court authentication. Court and notarial documents follow different procedures.

The timing depends on your chosen package and delivery. After checking the document and how you will send it, we confirm the turnaround before accepting the order.

That depends on the institution receiving your document. If it requires a translation of the certificate and apostille, this is usually prepared once the apostille has been issued.

Consular legalisation may be needed if the destination country does not apply the Hague Convention and no other exemption applies. Check the requirements before submitting the document.

Yes. You can send and receive the documents using the delivery method agreed with us.

No. It does not change the certificate’s content. Establish whether a correction from the issuer is needed before authentication.

Yes. Tell us how many recipients there are and what each requires. We will agree the documents, certifications, translations and total cost.
