PREPARING A DOCUMENT FOR AN APOSTILLE

Authentication before an apostille in Poland: what to check

Preliminary authentication before an apostille is required for the document categories covered by the applicable procedure. Do not add it automatically. First establish which signature must be authenticated, who is authorised to do so and what the completed step should produce.

Below we explain a notarial example and a document-readiness checklist. They help distinguish work already completed from work still needed, so you can ask a specific question before paying again or sending the original.

Preliminary authentication confirms a signature and does not replace the apostille

A preliminary authentication step is needed when the chosen procedure requires a particular signature or seal to be confirmed first. It is a separate step with its own responsible authority and result, rather than a “second apostille”.

Read the Polish word uwierzytelnienie together with the description of the act. Different guidance may use it for a particular certification. The word alone does not establish that you need a notary.

For example, Warszawa-Praga court guidance shows that the notarial route concerns confirmation of a notary’s signature and seal within the court’s territorial competence. That check is not a new translation and does not establish the truth of the underlying document’s contents.

Check the version of the document you will actually submit

Before examining endorsements, identify the particular version: the source document, a notarised copy or a translation. Requirements for one cannot be transferred to another without clarification.

Look through the whole document and identify its issuer and the person who signed each certification statement. A separate sheet, attachment and notarial endorsement may perform different functions.

  • Record the exact document title and issuing country.
  • Identify the authority, signatory’s position and document version.
  • Establish which signature must be authenticated at the next stage.
  • Compare this with the receiving institution’s requirement.

If you do not yet know who should issue the apostille, identify the competent authority first. Otherwise, you could carefully prepare a document under guidance that does not apply to it.

For a Polish notarial document, distinguish court authentication from the apostille

In the notarial example discussed here, preliminary authentication and issuance of the apostille serve different purposes. First check whether the requirement applies to your document and which court is competent, then proceed to the next act.

The Polish Ministry of Foreign Affairs states that a notarial document needs preliminary authentication by the territorially competent regional court, a sąd okręgowy. When identifying the court, state the notary’s name, place of practice and document type. Do not choose it solely by where you live.

This sequence concerns the notarial example. It is not a universal procedure for every document bearing a stamp and does not automatically extend to all court documents.

Do not add a court or ministry step to every document “just in case”

An additional step should follow the guidance for your category, rather than advice to collect more stamps. If the act is not part of the applicable procedure, clarify whether it is needed first.

For comparison, NAWA describes its competence for documents from Polish higher education institutions, while OKE in Poznań describes apostilles for documents issued by that examination commission. These examples do not form a common chain of institutions for every diploma.

Ask anyone proposing another authentication: “What is the act called, whose signature does it confirm and which guidance requires it for my document?”. The answer should connect the act to your category and chosen document version.

A link to another country’s rules or a procedure for a different document type is not, by itself, a reason to pay for an extra step.

Establish what each existing endorsement has already certified

The number of stamps does not show whether a document is ready: the purpose of each endorsement matters. Match it to the signature it concerns and the result required at that stage.

A specialist’s hands indicate signatures and endorsements on a multi-page document.

You can make a list for yourself: original signature, notarial act, preliminary authentication, apostille and translation. Beside each completed act, note who performed it and where the corresponding endorsement appears.

For example, certification that a copy corresponds to an original answers a different question from authentication of a signature. The presence of that statement alone does not establish that the document is ready for the chosen apostille procedure.

Do not add details yourself or try to improve the set with extra sheets. If an endorsement’s purpose is unclear, ask the authority or professional who performed the act.

If a signature cannot be authenticated, obtain the exact reason first

A statement that “the document is unsuitable” needs clarification before resubmission. Ask which requirement has not been met and which act could address that particular reason.

Questions may include whether the version is suitable, whether the authority is competent for the document, which signature is involved and whether additional authentication is required. These questions help establish the cause; they are not ready-made explanations for every refusal.

If a new document or contact with the issuer is suggested, ask what the new version must provide. Do not order a duplicate simply because it seems “more recent”.

Keep the exact reply and show it to the next professional or authority. This focuses the discussion on removing a particular obstacle rather than repeating the entire procedure without a clear purpose.

The document is ready for the next step when specific questions are settled

A checklist is useful only if an unknown answer remains marked as unknown. Do not automatically tick “yes”. Note who should clarify each missing answer.

Complete the checklist for one document version. If you later replace the original with a copy or obtain another authentication, revisit the questions affected by that change.

Clarify whether the step is needed with one specific enquiry

Connect the preliminary authentication to the document, signatory and version in your enquiry. A general request to “check all stamps” leaves too much room for interpretation.

Please confirm whether preliminary authentication is required before an apostille for [exact document type], issued by [authority, country] and signed by [position]. The version presented is [version]. Which authority performs this step? What act does it carry out, and which details show that it is complete? Please provide the current guidance for this category.

This gives the substance of an enquiry, which you can prepare in the appropriate language. Use a contact from the official website. Do not post personal identification numbers or full copies in open comments or a public form.

If the question concerns an existing translation, the sequence may differ. Check whether the apostille comes before or after translation before paying to have work redone.

We can help identify the step your document needs

Check the purpose of the authentication rather than collecting stamps under a universal scheme. Before proceeding, the subject of the check, competent authority and required result should be clear.

If you have a document with several endorsements or a comment from an authority, describe the situation to Translate Service. We can help clarify preparation for the formalities and arrange translation. A description of the task or one document is enough to begin; we can establish the full set needed afterwards.
