Apostille or consular legalisation: what does the destination country require?

When the Hague Apostille Convention applies between Poland and the destination country, the apostille procedure is used unless an exemption applies. Outside that system, consular legalisation is usually needed.

When an apostille is required, NAWA issues it directly for university documents within its remit. No further apostille from the Ministry of Foreign Affairs (MSZ) is needed.

Consular legalisation follows a different route: authentication by NAWA, legalisation by MSZ, then certification by the destination country’s diplomatic or consular mission.

If the country where you are submitting your diploma requires consular legalisation, see our consular document legalisation page for the procedure and costs.

Where can you get an apostille for Polish education documents?

  1. Polish university diploma and supplement

NAWA issues the apostille. Before submission, we will check whether your document falls within the agency’s remit.

  2. Academic degree documents

NAWA handles documents issued by universities. Research institute documents follow separate rules, so we will check the issuing institution before you send them.

  3. School certificate

The responsible authority is the regional education superintendent (kurator oświaty) or another body responsible for that type of school. We will identify the right authority from your document.

  4. Matura or OKE document

The relevant Regional Examination Commission (OKE) issues the apostille. This is a separate procedure from NAWA’s service for university documents.

What documents should you prepare for an apostille?

Prepare the paper diploma, supplement, school certificate or OKE document required by the recipient. For NAWA, you also need an application signed by the document holder or an authorised representative.

  1. Polish university documents

Your diploma and supplement, if both need an apostille. Depending on your order, this may also include a doctoral diploma, habilitation diploma or certificate of completion of postgraduate studies.

  2. School certificate

Prepare the school-leaving certificate or certificate confirming progression to the next year that you need to present abroad. Send us photos of every page before handing over the document.

  3. Document issued by OKE

A matura certificate, an annex to the certificate or a vocational qualification document, as required by the recipient.

  4. Application and representative’s authorisation

We will help prepare the application for the relevant procedure. NAWA requires an application signed by the document holder. We will confirm the forms and signatures needed for school certificates and OKE documents separately.

Photos or scans are enough for an initial check. Certification requires the appropriate paper document.

The NAWA FAQ explains application signatures and representation. The next section compares the document versions you can use.

Original, official copy or notarised copy: which should you prepare?

For NAWA, use the original university document, an official university copy or a properly issued duplicate. Authentication of a notarised copy covers the notary’s signature and does not automatically replace an apostilled university document.

Diploma versions and types of certification
Document versionWhat is certifiedWhat to check with the recipient
Original diplomaThe signature and seal on the university documentWhether the original is required and whether it will be returned
Official university copy or duplicateThe appropriate document issued by the university in the prescribed formWhether this version meets the requirements and whether a supplement is also needed
Notarised copyThe notary’s signature, under a separate procedureWhether the recipient accepts this form of certification

What needs translating, and can you use an existing translation?

The translation may need to cover the diploma, supplement and apostille, according to the recipient’s requirements. An existing translation can be assessed for an addition; a complete new translation is not automatically necessary.

About the service: sworn translation of education documents.

If your university has issued an official copy in the required language, we will check whether the recipient accepts it. The supplement and apostille may still need translating.

When the translation must include the apostille, it is prepared after that certification is issued, so it covers the document as it will be submitted abroad.

Questions about apostilles for diplomas and school certificates

No. If NAWA has issued an apostille on the document, no additional MSZ apostille is needed.

First, obtain an appropriate duplicate or official copy from the issuing institution. Tell us which document is missing. A scan alone cannot replace the document needed for certification.

An apostille itself has no expiry date. The recipient may have requirements for the document or the version submitted. If a new set is requested, send us the exact instructions before ordering again.

No. An apostille certifies the signature and seal on the document. Recognition of your education or professional qualifications may require a separate procedure in the destination country.

That depends on the destination country and the recipient’s requirements. If consular legalisation is needed, we will agree a separate scope and quote. The NAWA apostille price does not cover the full consular legalisation procedure.

A scan is enough for the initial enquiry. Certification requires an appropriate official paper document; a printout of a scan does not automatically replace it.

No. Prices start at 600 zł per document. A diploma and its supplement are charged separately.

Yes. Start by sending photos. Before you post your documents, we will agree which versions to send, the price, the processing time and the return address.

We will check whether adding a translation of the apostille to your existing translation is enough.

From 600 zł per document and from 30 working days. NAWA controls the application review time.
